1. Information we collect
When you contact us, submit a joining enquiry, or request event information, we receive the details you choose to provide: your name, email address, participant role, enquiry topic, message, any event context, and your acknowledgement of this policy. Joining enquiries may also include your optional choice to receive updates. Please do not submit passwords, payment details, identity documents, sensitive personal information, or material you are not authorised to share.
2. Contact, joining, and event forms
Forms are processed using Netlify Forms, our hosting provider’s form service. Submissions may be screened for spam and stored in the site’s Netlify account so the Litoracircle team can review and respond. The forms use a hidden anti-spam field. A successful submission acknowledges receipt; it does not create an account, confirm an event booking, or enter into a paid service agreement.
3. How we use information
We use enquiry details to answer questions, assess author or book submissions, discuss promotional or media opportunities, provide event information, and manage agreed work. We may also use relevant records to prevent abuse, resolve disputes, and meet applicable obligations. We do not sell your personal information or publish private enquiry details as editorial content without an appropriate permission or agreement.
4. Email communications
We may reply to your enquiry and send practical messages needed to manage a request or agreed service. Optional community or reading updates are separate from those replies. We use the joining form’s optional update choice to record your preference. You can withdraw that preference or ask us to stop non-essential messages by contacting us. An enquiry is not automatic permission for unrelated marketing.
5. Cookies and similar technologies
This implementation does not install advertising cookies, behavioural tracking, or an analytics product. The hosting infrastructure may use technical measures for security, reliability, or abuse prevention. We do not use browser storage to build advertising profiles. If optional tracking is introduced later, this policy and any required consent controls should be updated before it is enabled.
6. Hosting, images, fonts, and technical data
Netlify hosts the website, optimises images, and handles form submissions. Its infrastructure may process technical request information, such as IP address, browser details, timestamps, and requested URLs, for delivery, security, and reliability. Fonts are requested from Google Fonts, which receives the technical information needed to serve those files. Original book covers and supplied photographs are hosted with this website rather than loaded from the reference website.
7. Third-party services and links
Our service providers may process information on our behalf for hosting, form handling, and communications. If a promotional or interview project requires sharing approved material with an organiser or media provider, the scope and permissions should be discussed first. Third-party websites have their own privacy practices; following a link takes you outside our control. Provider processing may occur in countries different from your own, subject to the provider’s applicable arrangements.
8. Data protection and retention
We limit use of enquiry information to its relevant purpose and restrict access to people who need to handle it. We keep records for as long as reasonably necessary to respond, manage agreed work, resolve issues, or meet applicable obligations, and review them for deletion when they are no longer needed. There is no automatic deletion schedule implemented by this website. No internet transmission or storage system can be guaranteed completely secure.
9. Your choices and rights
You may contact us to request access to the personal information you have submitted, correct it, ask for deletion, object to certain uses, or withdraw a communication preference. Applicable rights depend on your location and the circumstances. We may need to verify a request and may retain information where there is a legitimate or legally required reason. If you are concerned about how information is handled, contact us first; you may also have the right to raise a concern with a relevant data protection authority.
10. Children and public submissions
The enquiry forms are intended for people able to understand and manage their own submission. Children should involve a parent or guardian before sharing personal details. Contact us if a child has submitted information that should be removed. Book and author information is public editorial content; submitted material should not include private information about another person without permission.
